How to Do Set Up For Folder & Windows Access Permissions to Share Company Files in Quickbooks Desktop

To get access of folders in the multi-user mode, the folders need to have the right Windows License.

  • Read Extended Attributes

  • Create Folders/Append Data

In case, if your permissions are not set correctly due to some reasons:

1. Click on the right folder button that contains the company file and then select Properties.

2. After clicking properties, Click & Select Security, then press Edit.

3. Now, You can choose QBDataServiceUserXX and select Full Control, then click on allow.

4. Click & select Apply, then press OK.

You may perform steps for any other folder listed below. Always keep in mind  that you may not have all of these folders. Some are specific to certain versions QuickBook Support system:

Click on Right folder and  then select Properties.

On the Security tab, select Everyone.

Note: If you will see that everyone is not listed in the Group or User Name checkbox, then select Add and type in Everyone. select OK.

Click & select Full Control, then select Apply and press OK.

Click & open the Windows Start menu and then open File Explorer.

You can set the permission level of both users to Full Control and select Share.

Windows 8.1

You may also take ownership of the file

Click & open the Windows Start menu and then open File Explorer.

Now select the folder that you want to take ownership of, and then select Share.

Click & select Advanced Security then Change then Advanced and then Click on Find Now.

Then, Choose the user and select & press OK.

Grant Full Control

Click & open the Windows Start menu and then open File Explorer.

Now, Click & select the folder and then select Share.

Click & select Advanced Security then Add then Select a principal.

Click & select Advanced then click on Find Now.

Now Choose the user and then select OK.

Click & Select Full Control and press OK.

Windows Server 2012

Keep in mind , before performing the following steps, You should be ensured that the File and Storage Services are installed.

You can open the Windows Start menu. Type “Run” into the search and open the Run Command.

You may type in ServerManager and then select OK.

Click & select File and Storage Services then Shares.

Task drop-down will open. On the Task drop-down, choose New Share. You acn see a list of File Share Profile will open. You can learn about the differences between the profiles by clicking each profile and reading the description.

Select SMB Share – Quick.

Note: In SMB Share – Quick is the default profile. This selection may vary.

Share location section will open. From the Share location section, click & select Type a custom path then Browse to locate the folder you wish to share.

Choose the appropriate folder and select Select a folder then click on Next.

Note: You can leave the default selections under the Configure Share settings window and click & select Next again.
