You can create a backup company file if you want to make a backup of your company file. Think of it as a save point for your accounting data. You can make use your backup to restore your data if you ever run into problems.

Please Note: Create a portable company file if you don’t need a full backup and just want to move your accounting data. If you use Intuit Data Protect to back up your company files you can follow the steps given below.

Step 1: Creating a backup company file

Everything currently in your company file is saved in the backup company file. Your accounting data, templates, letters, logos, images, and other related files are included. However, your payroll forms are not backed up. To do that later on, we’ll show it to you.

To back up your data, there are two ways. You have two ways to back up your data, automatically or do them manually.

Scheduling automatic backups :

  • Let QuickBooks do it automatically,instead of manually backing up your company file.
  • Go to the File menu in QuickBooks and click on Switch to Single-user Mode.
  • In the File menu again hover over Back up Company. Now, click on Create Local Backup.
  • Select Local Backup in the window and then click on Next.
  • Select Browse in the Local Backup Only section.
  • To save your backup company file,select wherever you want to.
  • The number of backups you wish to keep set the number accordingly. This step is optional.
  • Pro-Tip: On your calendar, you do not need to pencil it. To set backup reminders,use the options in the Online and Local Backup section.
  • Select complete verification in the Online and Local Backup section. To ensure your backup file and is in good shape, this runs a test before you save.
  • Select OK when you’re ready.
  • Click on Save it now and then schedule future backups. Click on Next.Select only schedule future backups if you don’t want to save a backup now.
  • When I close my company file checkbox, select the Save backup copy automatically. Now, choose the number of times between backups.
  • Select New,to create a schedule. To create a backup schedule, fill out the data fields. If you want to, = set a specific time or day of the week.
  •  Select OK after you set your schedule. You need to enter your Windows sign-in password in QuickBooks. By doing this you get a permission to run the scheduled backup.
  • Select Finish when you’re ready to create your backup.
  • At the same time,QuickBooks creates a backup and schedules your future backups. You get a confirmation message when it’s done.
  • You can also back up your company file manually.
  • If you prefer doing it manually, you can do it anytime.
  • Go to the File menu in QuickBooks.
  • Click on Switch to Single-user Mode.
  • In the File menu again hover over Back up Company. Click on Create Local Backup.
  • Select Local Backup in the window and then click on Next.
  • Select Browse in the Local Backup Only section and then select the place where you want to save your backup company file.
  • The number of backups you wish to keep set the number accordingly. This step is optional.

  • To make sure that your backup file is in good shape run a test before you save.
  • Select OK when you’re ready.
  • Click on Save it now and Next.
  • A single backup company file is created in QuickBooks. You get a confirmation message when it’s done.

Step 2: Adjusting your backup settings

  • Go to the File menu and hover over Back up Company if you want to see when you last backed up your company file. At the top of the menu, you’ll see the time and date
  • In case, you wish to change your backup preferences:
  • In the File, hover over Back up Company. Then click on Create Local Backup.
  • Click on Options.
  • Now,make the required changes and then click on OK.
  • In the next steps: You need to restore your backup
  • You can use to restore your company file ifyou have a backup company file. At the end of the file name, it has a .qbb extension.
  • Please note: You’ll need to move your backup file to your local hard drive first before you restore if you keep it on an external device or a hosting service like Box.
