Step 1: User need to review their quantity on hand

  1. First of all, click & select the Reports menu.
  2. Next, select & search for and open an Inventory Valuation Detail report.
  3. Click & select all dates from the Report period dropdown menu.
  4. After that, click & select Run report.

In case, if you have negative inventory for a product, you’ll see a negative amount in the QTY column. Take note of how much you potentially oversold.

See only what’s out of stock.

In case, if you only want to see the products you’re running out of :

  1. First, navigate to the Sales menu.
  2. Next, click & select the Products and Services tab.
  3. Then click & select Out of Stock at the top of the list. Select Low Stock to see what’s low.
Tip: If users don’t always get a warning message on invoices when they oversell an item, then they can set a reorder point so QuickBooks notifies them whenever their stock is low.

Step 2: Users can convert open purchase orders to bills.

Users can convert their open purchase orders to bills, if they have. This tells QuickBooks the items are on the way. User will also get to know that QuickBooks only counts the items as inventory after they convert the purchase order.

  1. In case, if you haven’t already, click & select New (➕) and then Purchase Order. Fill out and save the purchase order.
  2. Next, navigate to the Expenses menu.
  3. After that, you need to look for any open purchase orders. If you see Send in the Action column, then click & select it to send purchase orders to your vendor.

Once users get to know the products they ordered are on the way:

  1. First, click & select Copy to bill to convert a purchase order to a bill.
  2. Next, users need to review the bill. Once they are done, click & select Save and close. Users don’t need to pay the bill yet.
  3. After they convert all of their purchase orders, they can run another Inventory Valuation Detail report.

This gives you an updated inventory count in QuickBooks.

Step 3: Users can do a physical inventory.

Before ordering more products, users can check what they actually have in stock. This review is called a physical inventory.

  1. First, navigate to the Reports menu.
  2. Next, browse for and print a Physical Inventory Worksheet.
  3. Then, navigate to your stock room. Now you need to count the products you have in stock. Record the amounts on the Physical Inventory Worksheet.
  4. After that, please compare the Physical Inventory Worksheet with what’s on the Inventory Valuation Detail report you ran in Step 2.

In case, if the quantities are different, then users can adjust the quantity in QuickBooks so it’s accurate. Only do this after you’ve converted open purchase orders to bills.

Step 4: Users can order more products.

In case, if their inventory is still negative, it’s time to order more products. Users can create and send purchase orders for what they need.

In case, if your order won’t arrive instantly. In the meantime, if a customer orders something that’s out of stock, then they can create an estimate to start the transaction. Once user receives the order, they need to follow the steps to convert the estimate into an invoice.
