By combining two items

  • You can merge items so that all of your transactions are associated only with one item name if you have mistakenly entered the same item twice but with a different name.
  • Select Item List from the Lists menu (for Windows).
  • Select Items from the Lists menu (for Mac).
  • If you don’t want to use any item, right-click on the item and then select Edit Item.
  • Change the item name in the Edit Item window. Change it to the same name as the item to which you are combining it to.
  • Click on OK. Now, click on Yes to confirm that you want to merge the both the items having the same name.
  • You CANNOT reverse it once you merge two items. All transactions will come under one item, even in closed periods. Previous financial reports may also be affected. With the merged item, the data associated will be removed from your records along with the item.
  • More than two items cannot be combined at a time.
  • If both items have sub-items, you cannot combine them. From the items you want to remove,you must first remove the sub-items.

By hiding an item

  • If any item has ever been used in a transaction QuickBooks will not allow you to delete it for good record keeping. It’s better to just hide it if you no longer use or sell the item.
  • Select Item List from the Lists menu (for Windows)
  • Select Items from the Lists menu (for Mac).
  • Double-click on the item that you wish to hide.
  • Select Item is inactive in the Edit Item window (for Windows)
  • Select Inactive in the Edit Item window (for Mac) .
  • Click on OK.
  • Whenever you hide an item, that item is removed from the list but is not removed from your QuickBooks records.
  • By selecting Include inactive checkbox on your item list you can display inactive items on your list.

By unchecking the Item is inactive checkbox you can make it active again at any time once the item is inactive. Check if the item is a sub of an inactive item in case the checkbox is grayed out and you are unable to make the item active. If the item is a sub of an inactive item, then make the parent item active. You can also remove the connection between the parent item and sub-item.

By deleting an item

  • Select Item List from the Lists menu (for Windows)
  • Select Items from the Lists menu (for Mac).
  • Choose the item that you want to delete.
  • Select Edit from the menu bar, and then select Delete Item.
  • Several items or the entire item list cannot be deleted at once.

After you delete an item, you can revert a deletion immediately. You won’t be able to reverse the delete if you perform any other action in QuickBooks. You must immediately go to the Edit menu and choose Undo Delete in case you delete an item by mistake.
