While you use email services like Gmail or Yahoo! Mail, there are times QuickBooks won’t accept your password, learn how to deal with such issues.

In QuickBooks Desktop, you can directly connect online email services and send transactions. You shouldn’t worry if you see a message about an incorrect email or password. Follow the steps given below to check so that nothing blocks messages going out to your vendors and customers.

Step 1: Updating QuickBooks 

Update QuickBooks to the latest release if you haven’t done it already. After doing this email a test transaction to yourself.

Move on to Step 2 if you still get error messages.

Step 2: Checking your email settings 

You need to open your online email service and then review your settings and filter preferences. Your emails must have been blocked from QuickBooks on accident because of these.

For your email service, follow the steps given below.

For Gmail: 

  • You’ll need to check your app preferences. There must be something that may be blocking the connection to your Google account:
  • To enable access for less secure apps, follow the steps.
  • Just like QuickBooks, you can also set access preferences for specific apps.
  • Return to QuickBooks and then email a test transaction to yourself.
  • You can turn off the 2-Step Verification feature for your Gmail account if you still can’t send emails. Please note: Not just QuickBooks, this turns it off for all apps.

Move on to Step 3, when you’re done.

  • For Yahoo! Mail.
  • A 2-Step Verification process is used by Yahoo!Mail . You’ll need to review your security settings:
  • In your Yahoo Account Security page, turn on the Two-step verification.
  •  Allow apps which use less secure sign in features.
  • Return to QuickBooks and then email a test transaction to yourself.

Use the Yahoo’s generating third-party app passwords tool if you still can’t send emails. A random password is created that can be used to connect QuickBooks. You need to do this only once. Please Note: The password will expire after sending 12 invoices or transactions if you’re batch sending emails. To continue, you’ll need to generate a new third-party app password.

To get a password, follow the steps.

  • Return to QuickBooks and then email a test transaction to yourself.
  • Enter the third-party app password in the Password field box.
  • Click on OK.
  • Move on to Step 3 when you’re done.
  • For other email services (Hotmail, AOL, etc)
  • Check your security and filter settings. Make exceptions or rules so QuickBooks isn’t blocked.

When you’re done, move on to Step 3.

Step 3: Checking your antivirus settings

  • Because of your antivirus software the connection may get automatically blocked. For steps to allow port exceptions, search your antivirus provider’s website.  The steps given below are for Norton and McAfee.
  • For Yahoo! Mail, make Port 465 open.
  • For Gmail and all other email services, make Port 587 open.

Open your antivirus program and check your Excluded Processes list if you use McAfee. In order to run them freely, add these names to the list:

  1. exe – C:\Program Files\Intuit\QuickBooks [year]\QBDBMgrN.exe
  2. exe – C:\Program Files\Intuit\QuickBooks [year]\QBW32.exe
  3. exe – C:\Program Files\Intuit\QuickBooks [year]\QBDBMgr.exe

Return to QuickBooks and then email a test transaction to yourself.
