Changing a Primary State in QuickBooks

Learn to assign a new primary state in QuickBooks.

Has your primary location changed to a new state? If it’s true, then your business and payroll information need to be updated. Below mentioned section will tell you how?

Please know that Basic subscription plans only support a single state. Contact Payroll Support for assistance.

Changing primary work location in QuickBooks

This step can be skipped by you in case:

  • You already have a secondary work location which you are turning into your primary location.
  • You’re changing the primary work location to another address in the same state; don’t add a new work location. Just update the existing address.

Intuit Online Payroll

  1. Go to Setup, and then select Work Locations.
  2. Select Add a Work Location.
  3. Add the new work location, and then save.

QuickBooks Online Payroll

  1. Select the Gear iconat the top, and then choose Payroll settings.
  2. Select Work Locations, and then choose Add a Work Location.
  3. Add the new work location, and then save.

Once you have added the new state location Contact Payroll Support, They will assist you in switching it as the primary location on your account.

Allotting new primary location to employees

Allot the new primary location to any employees who will be moving there. You can skip this step if these employees are already assigned to a secondary work location that is becoming the new primary location.

Intuit Online Payroll

  1. Go to Employees.
  2. Select the employee’s name.
  3. Select Editin the Employment
  4. Select the new work location, then choose OKto save.

QuickBooks Online Payroll

  1. From the left menu, select Employees.
  2. Select the employee’s name
  3. Select the edit (pencil) icon on the Employment
  4. Select the new work location, then select done.

If you’re still on the initial setup and you want to change your employee’s work location, please contact  Payroll Support for assistance.

Update the employee’s tax information

You will need to update the following information:

  • If the employee is moving to the new primary state, you’ll need to enter their tax information for that state.
  • If the employee will continue to reside in the original state, but will work in the new work location, you may need to enter or update their tax information for both states.

You can skip this step if the employee is already assigned to a secondary work location that will become the new primary.

Intuit Online Payroll

  1. Go to Employees.
  2. Select the employee’s name.
  3. Select Editin the Taxes & Exemptions
  4. Make any necessary changes, then select OK.

QuickBooks Online Payroll

  1. From the left menu, select Employees.
  2. Select the employee’s name.
  3. Select the pencil icon on the Pay
  4. Under What are this employee’s withholding, choose the edit pencil icon.
  5. Make any necessary changes and select Done.

Retain Multi-state Plus service

You can eligible to ask us to remove Multi-state Plus support for the old primary state if all of the following are true:

  • You are no longer going to have any active work locations in that state.
  • None of your active employees are residing in that state. Unless they’re commuter employees who won’t be liable for income taxes in their resident state.
  • You’ve completed all required tax payments and form filings to that state.

Otherwise we recommend that you retain Multi-state Plus support for your old primary state. That’s even after we’ve changed your account to your new primary state.
