Fix Multi-user Issues for QuickBooks Desktop for Mac

Solution 1: The first step involves Verification, if QuickBooks Server is running and if the company file is shared

  1. Select Go Applications.
  2. Double-click the QuickBooks 20XX Server.app
  3. Share the file if required:
    • If the file is listed under NOT SHARED, select the file, then Start Sharing.
    • If the file is not listed, select +to add the file.

Make sure that the QuickBooks Server app should only be installed and running on the host computer. Also note that the company file should be on the same computer the QuickBooks Server app is installed on.

 Solution 2: Check the Mac OS firewall settings

  1. Move to the Apple menu at the upper left of your desktop, then select System Preferences.
  2. Select the Security & Privacyicon, then the Firewall 
  3. Select theFirewall Options Make sure if the button is grayed out, select the lock icon to unlock it.
  4. Keep in check that the QuickBooks Server app is set to Allow Incoming Connections.

 Solution 3: Verify file sharing permissions are set correctly on the host computer

  1. Move to the Apple menu at the upper left of your desktop, then select System Preferences.
  2. Select the Sharing 
  3. Mark the File Sharing
  4. Add the folder where the company file is stored in to Shared Folders.
    1. Select under the Shared Folder column.
    2. Browse to the folder where the company file is located, then select Add.
  5. Under the Users column, make sure the permission is set to Read and Write for Everyoneor just the specific users who will be using QuickBooks.

Solution 4: Verify if the Bonjour service is working properly on all computers

  1. Choose File, then select New Finder Window.
  2. Note that the other computers using QuickBooks should be shown in the Shared If by any chance other computers are not visible, QuickBooks won’t be able to share the file with those computers.
  3. Check if the following ports are open: 56565 TCP, 5297 TCP, 5298 TCP/UDP, and 5353 UDP.

Solution 5: Test the network configuration

Sometimes the communication between QuickBooks and the QuickBooks Server can be blocked by the hardware.

  1. Unplug the Ethernet cable or turn off the airport.
  2. After the above step reboot the computer.
  3. Open QuickBooks and retry enabling multi-user mode.

Mark that in case if any of the computers are connected to the network wirelessly then they should be connected to the same network.

Solution 6: Set up a peer-to-peer direct connection

2 computers can directly be connected together using a single ethernet cable.

  1. Firstly, shut down both computers, then plug each end of the cable into a computer’s Ethernet port.
  2. When the computers start up, the Bonjour service should allow the computers to see each other. You can verify this by opening a new Finder window, then check if each computer can see the other in the Shared section.
  3. Select any one computer to be the host (requires that QuickBooks Server be installed), after that open the file and enable multi-user mode (File Enable Multi-user Mode).
  4. Open QuickBooks on the second computer. From the Shared Files section, open the company file.
Some important questions to consider if you are troubleshooting multi-user issues:

·         Did the computer running QuickBooks Server go on Sleep mode? You By changing the System Preferences you can keep this from happening again  (choose Applications Energy Saver). Consider setting Computer sleep to Never.

·         Did any of the network settings on your computer or the QuickBooks Server computer change?Be sure the QuickBooks Server is sharing the company file and avoid changing the network settings (Applications System Preferences > Networking) while the file is being shared.

·         Is your computer using Wi-Fi? Due to a weak signal your connection to the QuickBooks Server may have been dropped. Move to an area with a strong Wi-Fi signal or consider using an Ethernet connection.
