Want to Set Up and Turn on Time Tracking, Contact QuickBooks Customer Support

Are you aware of an interesting feature in your QuickBooks Online Essentials and Plus which is time tracking?

In this article we will understand how do we switch on this feature and set up time tracking for our QuickBooks.

What is the requirement of this feature and how is it helpful for us?

Time tracking feature is majorly used to track and accordingly demand payment from the customers depending on the number of hours that has been taken up by a task, project or an activity. It is helpful as you can easily keep an account of the time consumed and bill the customer accurately.

You stipulate the rates with the customer which will ensure whether or not the bill will depend on time.

This time detail will automatically appear on the invoice prepared for the customer.

You can anytime decide the number of details which will be included in invoice.

The other options that can be included in invoice are:

The name of the employee

The charges which have been incurred per hour basis

The number of hour’s customer has been billed for

Invoice can be customized to show various other information like the name of the service you are using, the information which is mentioned in the Description field on your timesheet and even the custom text can be displayed the one which you specified o time tracking charges.

It is very important for those users who are monitoring their time tracker on their mobile phones or apps, they need to know that they can do that only by logging in to QuickBooks Online through a browser. Turning on the time tracking feature : 

Let us check out the steps for how to turn on time tracking:

Launch your QuickBooks and navigate to the Settings.

Further proceed ahead by choosing Account and Settings.

Now here you click on Advanced.

Advance yourself to the Time tracking section

There you need to click on Edit

Provide all the details and set your time tracking preferences:

o There is a check box that says “Add Service field to time sheets or Make Single-Time Activity Billable to Customer”- We put a checkmark on this box when we want those employees and the contractors who fill out time sheets to mention if a customer should be billed for the activities.

o There is another option which says “Show billing rate to users entering time” which is completely. You may go for it or you may even ignore it.

o There is another field which is “First day of work week drop-down – The view of the weekly time sheets can be affected which is seen by the employees and contractors

Finally go ahead and click on Save in order to finish.

Later on Done.

Including a Time Tracking user

We add a user to Time Tracking feature so that they can enter their hours in a timesheet. Let us check out the steps for how to add a time tracking user:

Launch your QuickBooks and navigate to the Settings

Further proceed ahead by choosing Manage Users.

Advance yourself to the Add user option.

Now here you click on “Time tracking only”.

Now proceed by selecting Next.

This will provide you with the option to include the employee or supplier you want to add

There you need to click on Next.

You will have to enter their contact information.

Finally go ahead and click on Save.

Making time billable using time tracking feature

We have set up time tracking and we have even switched it on. Next what we can do is to make these timesheets billable for the customer. Let us check out the steps for
making time being billed to the customer.

In your QuickBooks navigate to the Create icon.

Advance yourself by selecting Single Time Activity or Weekly Timesheet.

Provide all the necessary information.

Further proceed ahead by selecting the Billable box.

Finally go ahead and click on Save and Close.

Do you know you can also make time billable for always?

In your QuickBooks navigate to the Workers section.

Further proceed ahead by selecting Employees.

Now look for the employee or supplier you want to add.

Then you need to continue by clicking on Edit.

There is a check box that says “Billable by default”; you need to put a checkmark to that.

Finally continue ahead and click on Save.

Let us also check out the steps to access Time Tracking reports

Launch your QuickBooks and navigate to the Reports.

You may use any of the mentioned information – Recent/Edited Time Activities, Time Activities by Customer Detail, Time Activities by Employee Detail, and Unbilled time.

You need to input that information in the Enter report name field.
